By booking entertainment services through SoundVillage Entertainment, clients agree to the following policies.
Booking & Confirmation
All event bookings are subject to availability.
Events are not considered officially booked until any required deposit or payment agreement has been completed.
Event details should be finalized prior to the performance date to ensure proper preparation and scheduling.
Deposits & Payments
A non-refundable deposit may be required to secure and reserve the event date.
Deposits are non-refundable once a booking has been confirmed.
If SoundVillage Entertainment is unable to fulfill the booking due to unforeseen circumstances on our end, the deposit will be fully refunded.
Remaining balances must be paid according to the agreed payment schedule prior to or on the day of the event unless otherwise agreed upon in writing.
Event dates are not guaranteed until the required deposit has been received.
Cancellations & Rescheduling
Clients are encouraged to provide as much notice as possible for cancellations or rescheduling requests.
Last-minute cancellations may result in forfeited deposits or additional cancellation fees.
Rescheduling requests are subject to availability and are not guaranteed.
Performance Time
Performance time begins at the scheduled start time agreed upon during booking.
Delays caused by venue access issues, event schedule changes, or client delays may reduce actual performance time.
Additional performance time beyond the original agreement may require additional fees and approval based on availability.
Travel & Location
Events outside of the Metro Atlanta area may require additional travel fees, lodging accommodations, or custom pricing.
Clients are responsible for providing accurate event location details during the booking process.
Equipment & Setup
Clients must ensure that the venue provides safe and appropriate conditions for performance setup when necessary.
Access to electrical outlets and designated setup areas may be required depending on the entertainment service booked.
Outdoor events may require covered or weather-protected performance areas to protect equipment and performers.
Client Responsibilities
Clients are responsible for communicating important event details, timelines, special requests, and any updates in advance of the performance date.
Clients must ensure that the performance space is accessible, safe, and suitable for the agreed service.
SoundVillage Entertainment is not responsible for delays or performance limitations caused by lack of communication, restricted access, or unsafe conditions.
Weather & Outdoor Events
For outdoor events, clients are responsible for providing adequate shelter or protection from weather conditions (including rain, excessive heat, cold, or wind).
SoundVillage Entertainment reserves the right to pause or decline performance if conditions pose a risk to equipment or personal safety.
In such cases, reasonable efforts will be made to continue or adjust the performance when possible.
Venue & Coordination
Clients are responsible for coordinating with venue staff, planners, or DJs to ensure smooth setup and performance flow when necessary.
SoundVillage Entertainment is not liable for technical issues or restrictions imposed by the venue.
If coordination is required, clients should provide relevant contact information prior to the event.
Audio, Equipment & Control
All professional audio, instruments, and performance equipment are owned and operated exclusively by SoundVillage Entertainment.
Clients and guests are not permitted to handle, adjust, or interfere with any equipment during the event.
SoundVillage Entertainment reserves the right to pause or stop the performance if equipment is tampered with or safety is compromised.
Liability & Damages
Clients are responsible for any damages caused to SoundVillage Entertainment equipment or property by guests, vendors, or event conditions.
SoundVillage Entertainment is not liable for injuries, damages, or losses that occur during the event outside of direct negligence.
Insurance & Certificates of Insurance (COI)
If a venue requires a Certificate of Insurance, clients must notify SoundVillage Entertainment in advance.
Any costs associated with obtaining a COI will be added to the final balance.
All required venue information must be provided to ensure timely processing.
Conduct & Professional Standards
SoundVillage Entertainment maintains a high standard of professionalism for all performances.
Unsafe, hostile, or inappropriate behavior from guests or event participants may result in the performance being paused or terminated without refund.
Force Majeure
SoundVillage Entertainment is not liable for failure to perform due to circumstances beyond reasonable control, including but not limited to natural disasters, severe weather, government restrictions, illness, emergencies, or unforeseen travel complications.
In such cases, reasonable efforts will be made to reschedule or provide a suitable alternative when possible.
